Secretary Report:
Gave minutes from last meeting and email update regarding childcare suggestions for Hope Group.
Alt GSR: Motioned to accept Minutes. Accepted.
Discussion of expenses and book expenses. Hope sold a lot at Big Book Drive. We received $100 at the same drive. Shirley reported that she has a new accounting system that is working well for her. Also reported that our group purchased books for a lesser price due to the large quantity discount. $5.65/per book vs. $8/book. We need more soft cover Big Books. We get 50 books per case.
Action Item: Shirley will make two copies of the Treasurer report and post in the AA room.
(Sterling turned over chairing of meeting to Ray who came a little late.)
GSR Report: None.
Alt GSR: next district meeting will be here at Hope instead of Firehouse. Simple needs of room, not potluck. It will be at 4 pm in AA room on the 3rd Saturday.
Discussion: Need to get permission from YHF for District meeting.
Action Item: GSR will do this ASAP.
Discussion: Daycare and one caregiver at Northland example. Discussed contract questions, who can be a caregiver, following a contract from YHF, and/or following guidelines as stated by Hope Group.
Intergroup Report/Leo: We are waiting for info. Also working on fliers for next Golf tournament at Blackhawk.
Archivist/Aaron Report: Savign all info meetings, fliers to his computer. Question for posting online blog and calendar. Dave O volunteered to setup and working with Aaron on archived documents/info. Service Committee agreed a good ideaâ€â€no need to be a member, just log on to view Hope Group info. Dave O. will create using a WordPress tool and give us a month to review it before becoming officially public. Service Committee agreed.
Keep name same as Yahoo group to Keep It Simple and easy to find.
Action Item: Dave O and Aaron coordinate efforts to get online Cedar Park Hope Group Blog going.
Action Item: Sibo send Aaron all recent minutes via email in Word Docs.
Alt GSR: Want to chair a concepts meeting and use a regular discussion meeting to do this. He asked for guidance. His goal is to expand on the traditions and raise awareness of service, using the Concepts booklet. He doesn’t want to upset people. If people like it, at some point later, it could be taken to Group Conscience and have that format put up as a motion for a meeting. Discussion of group of need for more service, service awareness, Concepts awareness and best spot for meeting. Group agreed that Sterling could choose any open discussion meeting for this purpose if he was chairing that meeting. Sterling picked the Open Discussion at nooon on Tuesday for a Concepts Meeting. Open D/Concepts is written on the meetings board.
Question of attendance. Treasurer: Attendance is up, but not necessarily the money, but we are doing okay.
Discussion: of Prudent Reserve. The group’s balance is growing, accounting is dependable, income showing consistent trends. This is the month the group thought we would choose a prudent reserve now that the new systems are in place. After much discussion of pros and cons of keeping too much in reserve which invites trouble or too little which could create hardship, should an emergency arise, the group agreed on 1.5 months’ cost will equal the Prudent Reserve. Our costs are $2300/ month, so we agreed that $3,500 is our new Prudent Reserve. Anything above the PR amount goes to the entities as outlined by the guidelines put out by GSO. Voted, passed unanimously. 9-0.
Discussion: Concern of altercation in parking lot during a meeting time. Rules of behavior and allowance of presence on property during and after meetings. When is it okay to be at Hope? When in a meeting, doing step work, working with an alcoholic, sponsor, sponsee. What to do if there is a disturbance? Do we need greeters to encourage more attendance and less trouble? If a problem, we can ask YHF to repost sign of “zero tolerance†of violent behavior. YHF’s guideline is out for 90 days from Hope. 3rd offense is to be permanently banned from the property. If violence occurs, one could call 911, especially if there is injury. Let YHF handle the “zero tolerance†part.
Action Item: Ray to contact Tom G and ask that sign be reposted regarding violence in parking lot.
Discussion: Mike P’s (worked at True Automotive) passing. Service is up to his family, not Hope. Family is long distance and still figuring it out. Question: Do we help as a group? No, only as individuals, not as an AA group.
Question: Raise money for chapter for Sober House Oxford/World Conference Oxford. Direction to take this to YHF.
